18 × 24 in is the usual welcome-table sign and fits a standard easel. Go to 24 × 36 in once you pass roughly 120 guests, or if the sign stands at the end of a corridor where people read it from a distance. A1 and A2 are the metric equivalents: A1 is close to 24 × 33 in, A2 to 17 × 23 in.
If the preview warns that the names have shrunk, the fix is a bigger sheet or a third column, in that order.
Any copy shop that prints engineering or poster prints: Staples, Office Depot, FedEx Office, Vistaprint, Costco Photo, or a local print shop. Ask for a poster print on matte or uncoated stock and hand over the PDF. Foam board mounting costs more and is what keeps the sign upright on an easel; a plain print in a frame you already own works too.
Cheapest of all: print it at home across four sheets of A4 or Letter and tape them, or pick the ivory theme, which prints black on white paper and uses almost no ink.
The working rule is about one inch of letter height for every ten feet of viewing distance, so at 6 ft you want roughly 0.4 in tall capitals — around 28 to 36 pt. This tool sizes the names automatically to fill the sheet and tells you when the list has pushed them below about 24 pt, which is where a queue starts squinting.
No. The page has no server behind it. Your list stays in this browser tab and is gone when you close it, so keep your own copy of the spreadsheet.
By name, always. Guests arrive knowing their own name and nothing else. A by-table list makes every guest read every table. Use the letter groups when the list runs past about 60 people — they cut the search to one block.
